Sterling
CHOP partners with Sterling Talent Solutions to conduct background checks on all new hires as well as with individuals that maintain employment in positions requiring new or updated relevant clearance or credential verification.
CAC (Child Abuse Clearance)
Sterling will initiate Child Abuse Clearances for new hires in every state that offers such a check in which the new hire has lived in the past 7 years in addition to the PA Child Abuse Clearance. The process and turnaround time will vary by state.
PATCH (Criminal History Record from the PA State Police (PATCH) system
Sterling will conduct criminal checks in each state in which a new hire has lived within the past 7 years in addition to a check with the PA State Police.
FBI Clearance
Sterling will initiate an FBI Fingerprint for new hires in the state of PA. An email will be sent to every new hire from FingerprintSupport@sterlingts.com with instructions to register for fingerprints with IdentoGo and then complete the fingerprints at a local fingerprinting administrator.
Federal Form I-9
is used to verify the identity and employment authorization of individuals hired for employment in the United States. All U.S. employers must properly complete Form I-9 for each individual they hire for employment in the United States. This includes citizens and noncitizens.
Occupational Health Clearance
CHOP Occupational Health requires a mandatory pre-employment physical and drug screening. CHOP is an institution that enforces mandatory seasonal flu vaccinations. All new hires, union and non-union, who work in patient care buildings are required to receive the seasonal flu vaccine.
VPN and Claiming Identity
You will not have access to our CHOP network until you have claimed your identity. You will receive an email with instructions within 48 hours. If you did not receive your digital identity, please send an email to identityadmin@email.chop.edu
Health care Worker
Healthcare worker designation is assigned based on an role and or building location.
Question: FBI- Can fingerprint be processed outside of the US? Does the address matter when registering for fingerprinting?
Answer: Please be advised, fingerprints-based background check will be processed in the United States post your arrival. If you have the mailing address for the United States where you will be residing, please mention the same address while registering online. The results of your fingerprints-based background check will be delivered through mail to the address that you mentioned during registering. If you do not have the mailing address as of now for the United States, please wait and register post your arrival. Also, please notify the Human Resources, Recruitment Coordinator at Children's Hospital of Philadelphia about the same.
Question: Why must I schedule my occupational health clearance no later than three weeks before my start date?
Answer: For roles that require immunizations, you may need to return for a second appointment depending on existing immunizations. It is therefore important to schedule your appointment no later than three weeks before your start in the event you need to return for a second appointment.
Question: I do not live in Pennsylvania and cannot visit until a few days before my start date. What should I do?
Answer: You will need to let both Occupational Health and your Preboarding Coordinator know so they can provide instructions.
Question: What instructions I am expected to receive from Occupational Health if I am not able to visit PA?
Answer: Where appropriate, you will be provided instructions on how to obtain some screens remotely.
Question: What instructions I am expected to receive from my Preboarding Coordinator if I am unable to visit PA?
Answer: Your Preboarding Coordinator will let the background screening vendor know the specific set of instructions needed for your state in order to complete your FBI fingerprints out of state. Processing times for prints done outside of PA average 4-8 weeks. If done in PA, the average time from when you visit a fingerprinting location to when you receive your results is 7-10 business days.
Question: I did my FBI fingerprints in PA over 15 days ago and it still has not yet arrived in the mail.
Answer: You can call the state for a duplicate set of prints at 1-877-371-5422 during the following times. Please be sure when calling to confirm your current address since the prints will be mailed to the address you used when you registered for fingerprints.

Question: Why does the preboarding process take so long?
Answer: Because the community trusts us with caring for children, CHOP requires some additional checks and clearances above and beyond what others may require. These include an FBI fingerprint report, Child Abuse History Clearances, a 7-year criminal history search and Sex Offender Database searches. In addition, we also believe that the right person in the right job makes for better patient outcomes, so we verify required education and license and certification. These all run parallel and simultaneously with Occupational Health Clearances which could also take time, depending on your role and existing vaccines.
Question: What if I don't have my transcripts/GED?
Answer: If you do not have copies of your diploma or transcript, please request official
transcripts immediately.
